Every listing starts as a record. Organisations, program members, and the public each add to it in different ways — and each kind of information tells you something different.Six stages of a record

Organisations register the safety assets they’re responsible for, across one site or many, with location, access, and type-specific details.Anyone can submit a safety resource that isn’t listed. New submissions are reviewed by the platform team before they can appear on the map.Verify
Confirm what’s really there.- Maintainer program members

A maintainer program member with a verifier role, or a reviewer, can confirm that equipment is present and that its location and access details are right. That’s a presence confirmation — not a check that it works.Separately, proposed changes to published details are reviewed before they apply.Share
Publish what’s useful.- Organisations

Organisations set what they intend to make public. Guardian Civic’s listing and review rules decide what’s published, and the type of asset decides which details appear — including how precisely its location is shown.Personal and administrative information stays private.Keep current
Flag what’s changed.- Community

Anyone can report a problem from a listing. A report that equipment can’t be used or reached shows straight away as a caution awaiting review; the published details don’t change until it’s reviewed.You can also request a check, which asks the responsible organisation to take a look.Maintain
Turn maintenance into evidence.- Organisations

Organisations record inspections, maintenance, replenishment, and fixes against each asset. Maintainer programs can help with inspection and follow-up tasks.The public sees the last recorded inspection date, or that none was shared. Ownership, management, verification, and oversight stay distinct. Organisations keep control of their assets, while authorised umbrella bodies can see across participating organisations without taking over local management.
What the public sees, and what stays private
Organisations keep the full record in their workspace. A listing shows a smaller set of details, depending on the type of asset and what the organisation intends to share.On a public listing

- Open cautions awaiting review, and “Do not rely on it” for equipment that is out of service or reported unavailable
- Where available, when its location and access were last confirmed
- The last recorded inspection date, or that none was shared

Seen only by the people who manage the record.- Ownership and administrative information
- Full inspection, maintenance, and replenishment records
- Review decisions, report details, and change history
- Personal details of owners, staff, reporters, and program members
