This page explains how Guardian Civic handles personal and operational information collected through public pages: the public map, public asset and site pages, report forms, and public asset submissions.It applies to information you submit directly, and to limited technical information collected when those pages are used.Information we collect
We may process information you choose to provide, including names, contact details, location notes, access details, report narratives, asset information, and uploaded evidence needed to review or follow up on a submission.We may also collect technical information such as device, browser, IP address, page requests, and diagnostic data needed to operate, secure, and improve the public service.How we use information
Information is used to publish and maintain public asset details, review reports and submissions, contact you where follow-up is needed, prevent misuse, keep audit trails, and meet legal, safety, and operational obligations.Public reports and submissions feed review workflows before they change published details, which means authorised teams may review what you submitted before any public update is made.When information is shared
Information may be shared with the responsible workspace, organisation, review team, operational team, and the service providers needed to operate Guardian Civic, investigate a submission, support a customer, or comply with the law.Published asset and site details may be visible to the public. Report details, internal review notes, audit history, and non-public contact information are not made public by default.Where an asset steward has authorised privileged emergency-response disclosure, Guardian Civic may disclose a bounded set of asset details to authorised emergency-response organisations or systems under agreement. That path is separate from public map discovery: public listing alone does not authorise privileged disclosure, and withdrawing privileged disclosure does not remove information that remains published on public surfaces.Guardian Civic uses Google Maps Platform services to display maps, look up locations, and search for places. When you use a page that includes those features, relevant information — such as the map area you are viewing or the text you type into a place search — may be processed by Google in accordance with the Google Privacy Policy (opens in a new tab).Retention and auditability
We retain information for as long as needed to operate the service, maintain published asset details, investigate misuse, meet contractual or legal obligations, and preserve auditability for review and verification decisions.Retention periods vary with the type of submission, the responsible organisation, and whether the information is still needed for safety, operational, or legal reasons.Security and your choices
Guardian Civic uses technical and organisational safeguards designed to protect the service and the information it processes. No online service can guarantee absolute security, so avoid submitting unnecessary sensitive information through public pages.You can contact us about privacy questions or requests through the contact page. People who sent a report without signing in can delete it on the delete-report page, using the report code and deletion code from their confirmation.Organisation policies and the emergency boundary
Organisation-specific privacy notices, customer agreements, or local legal requirements may apply alongside this page where an asset, site, or reporting flow is managed by a specific organisation.Guardian Civic contact channels are not emergency response channels.
